Privacy Policy

How Mailbridge handles the information needed to connect your Gmail accounts to the agents and applications you choose.

Who we are

Mailbridge is an Aide product provided by Faniki Stawi Consulting Ltd, a company incorporated in Kenya. Faniki Stawi Consulting Ltd is the data controller responsible for the personal information described in this policy.

What information Mailbridge uses

Account and contact details

This includes your email address, the information needed to secure your account and anything you send when requesting access or support. We use your contact details to communicate about Mailbridge, not to run an unrelated newsletter.

Gmail information

When you connect Gmail, Mailbridge receives the account address and Google’s permission to access it. We never receive your Gmail password. Mailbridge fetches messages, conversations and attachments only when you or your connected client asks it to and does not build or keep another permanent copy of your inbox.

Connected agents and applications

We keep the connection and security information needed to let your chosen client use Mailbridge. Requested Gmail information is returned to that client, which may handle it under its own terms and privacy practices.

Basic service information

Like most online services, Mailbridge receives basic information when you connect, such as your IP address, browser or client type and security or diagnostic records. We use it to operate, protect and troubleshoot the service.

Cookies

Mailbridge uses a strictly necessary signed cookie to keep you signed in, protect forms and preserve the security of your session. It is not used for advertising or cross-site tracking. We do not currently use analytics cookies.

How we use information

We use personal information to:

  • provide, authenticate and maintain Mailbridge;
  • carry out the Gmail actions you request through your chosen client;
  • secure accounts, investigate abuse and troubleshoot faults;
  • respond to support, access and privacy requests;
  • understand and improve the product without advertising from Gmail data; and
  • meet legal obligations and enforce our Terms of Service.

Why we can use information

We use information where it is needed to provide Mailbridge, where you have authorised a Gmail connection or requested contact, where we have a legitimate reason to secure and improve the service, or where the law requires it. You can withdraw an authorisation or consent at any time, although that does not undo earlier lawful use.

Google user data

Mailbridge currently requests Gmail access that permits it to read mail and make the limited changes exposed by the product, such as marking a message as read. We use that access only to provide or improve user-facing Mailbridge features that you request.

Mailbridge’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We do not sell Google user data, use it for advertising or use it to train general artificial-intelligence models.

When information is shared

Mailbridge returns requested Gmail information to the MCP client, agent or application you connect. That provider handles the information it receives under its own terms and privacy practices, so choose clients you trust.

We may also use service providers for hosting, databases, security and other essential operations. They may process information only to provide those services. We may disclose information where required by law, to protect people or the service, or as part of a corporate transaction subject to appropriate safeguards. We do not sell your personal information.

Retention and your choices

We keep account and Gmail connection information while it is needed to provide Mailbridge. Disconnecting a Gmail account removes its stored connection. Access, security and support records are kept only for as long as reasonably needed for their purpose, including resolving disputes or meeting legal obligations. Mailbridge does not permanently retain the message and attachment content it retrieves from Gmail.

You can revoke Mailbridge’s Google access in your Google Account. You can also contact us to request access to, correction of or deletion of your personal information, or to exercise another right available under applicable law. Some information may need to be retained for security, legal or record-keeping reasons.

You may also complain to the data-protection authority that applies where you live or work, including Kenya’s Office of the Data Protection Commissioner.

International processing

Faniki Stawi Consulting Ltd is incorporated in Kenya. Mailbridge, Google, your chosen client and our service providers may process information in other countries. Where required, we use appropriate contractual, technical or organisational safeguards for those transfers.

Security

We use technical and organisational measures appropriate to the service, including encryption and access controls. No internet service can promise absolute security, so keep your Mailbridge access credentials confidential and revoke anything you suspect has been exposed.

Changes to this policy

We may update this policy as Mailbridge develops. We will publish the revised version here and change the effective date. If a change materially affects how Google user data is used, we will provide additional notice or request consent where required.
